How Do I View a Debit Note?

Debit Notes are attached to an invoice, so you will access the invoice to view a debit note. Clients can view Debit Notes on the Account Summary in the Client Portal.


More About Debit Notes

Debit notes are generated when invoiced services are increased in value or new services are added to an order. Debit notes are mostly used when you Invoice in advance of service delivery. They help you easily manage a client's account balance, allowing you to add additional services to an Invoice, instead of Voiding the Invoice and creating a new one. There is also a system for Credit Notes.


How Do I View a Debit Note?

Navigation: Clients > access a client account > Orders & Invoices


Step 1

  • In Orders & Invoices, Invoices with Debit Notes are noted as follows: 
    • Initial Invoice Value, Debit Note and amount, and Current Invoice Value
    • Click the Invoice No. to view the invoice with debit note attached.

Step 2

  • Click "Credit/Debit Notes" from the left-side menu.
  • Click "Show/Hide details" to display debit details.
  • Total value of the debit, including the debit note number are listed.

Step 3

  • From here you can Download a Debit Note PDF, and it is automatically added to the invoice PDF as a second page.
  • You can also view the Credit/Debit Notes report, a list of all credit or debit notes that have been created but not committed. This is useful to view prior to running your regular invoicing.


How Does the Client View the Debit Note in the Client Portal?

  • When the client logs in to the client portal, any amount due is on the Account Summary page:

  • If you re-send your client their account summary, the debit is noted as well as the adjusted invoice balance below any payments that are due:
