Configure Staff in the Group Planner

The Group Planner can be used in a number of different ways to help you quickly schedule, view staff availability and your business capacity. In addition the planner is also helpful to identify which staff/sitters provide services and to identify who is available to accept a service when they have no services assigned to them, or who is below capacity.

How do I Set up the Planner to display Staff/Sitter Capacity by Service Item Group?


To set up your Group Planner to display both Company, Service Item and Staff Capacity, firstly set your Group Planner Settings to display the Service Item Groups you want to track.

Navigation: Admin > Settings > Planner Settings > Group Planner Settings


Step 1


Group Planner Settings:


  • ITEM GROUP: Your Service Item Groups
  • TRACK: Toggle ON to add a Service Item Group to the Planner and display a total count of all scheduled services. 
  • STAFF: Click "Configure Staff". Here you can access the Service Item Group tracking for individual staff/sitters and also enable the Check-in/Out feature. 
  • COMPANY CAPACITY: Displays the total Company Capacity for the Service Item Group.
  • ADD TO GROUP TOTAL: Only visible when "Use Add to Staff Total" is Toggled OFF in General Planner Settings. Adds the Service Group Totals to the Company Planner Totals.

When you have finished setting up the Group Planner, click "Update" and move onto Step 2.


Step 2


To set up your staff/sitter capacity to appear on your Planner by service item group, click on "Configure Staff" for each of the service item groups you wish to appear on your staff/sitter planners.

Step 3


To create a staff/sitter planner view, Toggle ON each staff/sitter that provides the service, (in this case Boarding) and click "Update". 


In the Service Item Group set up page, you have several options to choose from:


  • STAFF: List of all active staff/sitters
  • TRACK: Toggle ON to track the staff/sitter in the planner and include the current service item group (in this case Boarding) 
  • MAX CAPACITY: Set the maximum capacity for the selected staff/sitter relating to the current service item group, (in this case Boarding)
  • ENABLE CHECK IN: Add the Check-in/Out function to the staff/sitter planner. 
  • ADD TO STAFF TOTAL: When toggled ON, adds the staff's count of services (in this case Boarding), to the staff planner totals for the day. 


Note: To add Staff Totals to Company Totals, ensure "Use Add to Staff Total" is toggled ON in Admin > Settings > Planner Settings > General.


When you have finished setting up the service item groups for staff/sitter, click "Update."


Repeat this process for all service item groups and staff/sitters you wish to appear on a planner.

Once set up, you can then choose whether or not to view individual staff level planners by clicking on the "+" button. This will then reveal the staff/sitter planner with the capacity totals for each service item group you have set up. 


Tip: Click "Expand All" / "Collapse All" to quickly unhide/hide all Staff level Planners.

The Planner can help you quickly schedule, view staff availability and facility capacity. You can use the planner to track just one service or a few services at a time, depending on the configuration. Setting up the planner for each use is slightly different and you'll want to understand a Resource Cost before starting set-up. 

The Planner displays capacity and current scheduled services for a particular type of service, such as boarding, overnight and daycare services. The planner has a number of other features and functions that can be accessed directly from the Edit Services Page, such as:
