How Do I Add an Admin Note to a Quote?

Service Orders holding scheduled services that are not yet invoiced are automatically in the "Quote" status. You can add an "Admin Note" to a quote or an invoice to manage the scheduling process:
  • Make a note as a reminder to contact the client on a certain date.
  • Use a note to remind you to send a quote or invoice on a specific day.
  • Record a note if a client asks you to wait to run their card on a specific day or says they will send payment on a date after the Due Date so you do not try to collect sooner.

Admin Notes are visible by the admin team and staff with access to view quotes and/or invoices.


More About Quotes

Once you have scheduled services in a service order, you have the option to send your client a quote. Quotes look like invoices but they are an estimate showing the dates and rates of scheduled services, but they cannot have payments receipted to them. Whereas Invoices are an actual bill for services that is owed now and can be paid. 



Tip: Admin Notes are viewable in Invoicing > Unpaid Invoices, by invoice date. Only Admin Notes for Invoices are in the Report, there is not a Report for Admin Notes on a Quote. To view a Admin Notes on a Quote, access it via the Client Account.


How Do I Add an Admin Note to a Quote?

Navigation: Clients > access a client's account > Orders & Invoices


Step 1

  • Click the blue word "Quote" in the "Invoice" column to view the quote.

Navigation: Clients > access a client's account > Orders & Invoices > Quote > Admin Notes


  • Click "Admin Notes" in the left-side menu.
  • Type out your note.
  • Click "Update Admin Notes". When the quote is converted to an invoice, the admin note remains intact.
  • You can go back and update or add to the note at any time.
