You can add an "Invoice Note" which displays beside the Service Item Description on the Invoice. Invoice Notes are visible on the Admin Schedule and by clients on an Invoice, and you can preview the note by viewing the PDF of the invoice.
An invoice is a bill you send a client so they can pay you for their services.
Tip: Use an Invoice Note when there is a variation in a charge, such as needing to stay longer if the pet has an accident or emergency, or if a late cancellation fee has been added to the invoice. This alerts the client so they understand the additional fee.
Note: This must be done at the QUOTE stage (i.e. before the invoice is created). If the invoice was already created, void the invoice, edit Invoice Type and create the invoice again. The invoice will have a different number.
How Do I Add or Edit an Invoice Note on an Invoice?
Navigation: Clients > access client account > Orders & Invoices
Step 1
- After you have voided the original invoice (if you had already created it), open the service order by clicking the order label.
Step 2
- Click the check box next to the Service Item(s) you want an Invoice Note to appear by on the invoice.
- Click "Edit."
Step 3
- Add your Note to the "Invoice Notes" field.
- Click "Update."
Note: If you add an Invoice note to ALL services on a Service Order, the Invoice Note will be displayed repeatedly next to all of the services. If you want your note to appear on one service, enter services without notes and use "Edit Services" to add a note to the appropriate service. The process is the same for any view of the Schedule (List View, Column View or Compact View). You can also add to or overwrite invoice notes to other services.
- Below shows how the invoice note appears on the invoice.
