Add a Late Cancellation Fee

If a client cancels a service outside of your permitted cancellation times, you may want to charge them a late cancellation fee. This can be added to the service order before you convert it into an invoice.


More About Service Orders

A Service Order contains services a client has ordered, for a date range that will be invoiced together, such as one month of daily walks or a 2 week vacation. The services are simultaneously populated to the Schedule and are used to create an Invoice for the Client.


Note: If you are changing Price and you have invoiced the service order, the change may generate a Credit or Debit Note. You may also want to consider Voiding and recreating the invoice.



How Do I Add a Late Cancellation Fee?

Navigation: Clients > access a client account > Orders & Invoices > click on a service order


Step 1

  • Open the Service Order by clicking on the blue order label name.
    • Do not click "Quote" or "Invoice No:" those are not editable.

Step 2

  • First find the service that was cancelled late, then "cancel" the service so it shows as "greyed out" and the charge and staff pay amounts are zero.

Step 3

  • Select the service and click "Edit."
  • Add the amount you are charging the client for late cancellation to the "Unit Charge" amount.
  • If it is applicable, also add an amount if you still need to pay your staff for the late cancellation in "Staff Pay."

Step 4

  • You can see the cancelled item is still greyed out, but there is a charge and staff pay amount to be applied to the order.
Note: Cancelled services show on the client's invoice so they will see the charge. You can also add an Invoice Note so the client will see on the invoice what the charge is for.
