If you have made a scheduling error which you discover later on down the line, you can use the Void function.
- Example: You schedule Monday, Tuesday, Wednesday but later discover that your client did not book Wednesday. Use Void to remove Wednesday from the current Admin Schedule.
Services that are voided:
- are removed from admin and staff schedules. You can filter the schedule to view them.
- remain on service orders as voided, but do not appear on the invoice.
- have client charge set to zero. You can NOT edit a VOIDED service to add a charge as this item does not appear on an Invoice.
- are removed from staff pay reports and staff pay is set to zero.
When to use Void instead of Cancel
Use Void instead of Cancel if you have made a scheduling error. Cancelled services appear on your client invoice whereas Voided services do not. So use Void if you do not want to remind your client of your scheduling errors!
When to use Void instead of Delete
Use Void instead of Delete if you are making multiple changes to your schedule such as cancelling all walks for a public holiday. Voided services can be reinstated if required whereas deleted services are not recoverable. To prevent unrecoverable mistakes use Void in preference to Delete.
Note: Voided services can be re-instated if they were voided in error (see below how to do this).
How Do I Void One or More Services from the Schedule?
Navigation: Scheduler > Schedule > List, Column or Compact View
Step 1
- Check the box to the left a service, or check "All" in Header to select all services.
- Click "Void."
Step 2
Once you void a service, it is removed from the "Scheduled Services" view of the Schedule.
- To view voided services, select "Voided Services Only" from the "Scheduled Services" dropdown and set the date range.
Note: The process is the same for any view of the Schedule, List View, Column View or Compact View.
Step 3
- Voided services display on Service Orders marked "Void" but do not display on Invoices.
Can I Reinstate a Voided Service?
Yes, to reinstate one or more services, select the service(s) and click "Void" again, this will "un-void" the service(s).
Reinstated services are:
- returned to the admin and staff schedules.
- visible in the client's schedule under "Scheduled & Completed Services."
- no longer appeared "greyed out" or marked "void" on the service order.
- will appear on invoices again.
- display appropriate client charge and staff pay on the services and reports.
Note: The process is the same for any view of the Schedule, List View, Column View or Compact View.
