Client, Staff and Invoice Notes provide additional means of providing communications between staff, admins and clients. These notes can be added and accessed via the following process:
Client Notes: If a client adds a note when requesting services from their client portal, the note is copied to Staff Notes, retained in the client note and displayed when editing services.
Staff Notes: Can be added, overwritten or appended to services in the Staff and admin schedules, or client service orders and provide a useful tool for communications to staff regarding the scheduled service.
Invoice Notes: Can be added, overwritten or appended to services in the Staff and admin schedules, or client service orders and appear on the invoice beside the service description to be seen by clients.
How do I Add a Staff or Invoice Note to a Clients Service in the Schedule?
Staff or Invoice notes can be added or edited in a clients service in the following areas of your system:
- Service Request Processing
- Repeat Services
- Manually adding services to a client service order
- Editing a clients service order
- Editing services in the staff and admin schedules
Navigation: Scheduler > Admin Schedules > List View
- Select the service you wish to add a Staff and/or Invoice note to.
- Click "Edit."
- In the Edit Services screen, scroll down to Staff and Invoice Note field.
- Enter your Staff and or Invoice Note
- Click "Update."
Now your staff and admins will be able to view your notes in their dashboards (subject to permissions)and schedules.
Adding to or Overwriting Existing Staff/Invoice Notes in a Client Order
If existing Staff or Invoice notes are present on a service you may want to overwrite or add to these notes for other services on an order:
Navigation: Clients > Client Account > Orders & Invoices
- Select the Service Order you wish to add or edit staff/invoice notes to.
- Select the services you wish to add or overwrite staff or invoice notes for
- Click "Edit."
- Add or overwrite existing staff or invoice notes:
- Click "Update" at the top of the page to save your changes.
