Glossary: Calendar View Schedule Entries Explained

Calendar View is an innovative and powerful tool to view and manage your pet service bookings, making scheduling more intuitive, flexible, and efficient.  Calendar View offers the same functionality that our List, Column and Compact views provide but in a universal format similar to many other popular calendar and email programs.

Date Scrolling
Use the left or right arrow to move the day back or forward by one day per click. Can also be used with "Day", "Week", and "Month" quick jump to buttons to move back or forward by a Day, Week or Month.


Settings

Configure your Calendar settings with Calendar and Scheduler Options to customize your schedule for the requirements of your specific business.  


Filters

Displays or hides the Filter panel allowing you to filter your Calendar by Staff, Service Group or Client Area.


List or Time View Format

Choose which format to display your Calendar:

  • List view - presents your schedule in an easy-to-navigate grid format.
  • Time View - presents your schedule again in grid format, but with time slots displayed on the left, representing each row. When Time View is selected, choose to display the times in 5, 15, 30 or 60 minute blocks.


Quick Jump to Date Ranges

Quickly set your date range for Calendar View by clicking the "Day", "Week", and "Month" buttons. Can be used in conjunction with the date scrolling arrows left or right to move back or forward by a Day, Week or Month. 


Schedule Ref

The "Schedule Ref" field is a clickable link to access the client's account allowing you to view and make changes on the account.  It is used in the Schedule, Invoices, Service emails and email merges and you can choose to have the Clients Name, Pet Name or both displayed in the Schedules by setting this in Admin > Settings > Schedule Settings > Schedule Options.


Staff Name
The assigned staff name is displayed in the schedule entries. The staff name is a clickable link; for access to sitter's schedule for the current day.

Time of Service (Optional)
When adding services to a service order, the time always has to be entered. However, it doesn't follow that you would always want the time displayed in the corresponding schedule entries. For example, it might be sufficient to start a lunchtime dog walk anytime between 11:30am and 1:30pm, so you may not want to show the specific time of say 12:30pm on the schedule.

If you don't need to show a specific time in the schedule, you can display a general schedule period, or you can choose to display the time on the schedule. There is an option to have "Display Time" automatically shown, not shown, or have allow Admins to choose. Read more about time settings for Service Items.

Time Block (Optional)
A time block is the time period during which the service should be done. Use of time blocks is optional, but if a time block is selected, then the time block is shown in the admin schedule and also in the staff schedule.

To schedule a service within a time block, the available time blocks must be set up for the relevant service item. Read more about time and time block settings for Service Items.


Date

The date of the week or month. 


Service Short Description
The short description of the service indicating type of service (i.e., dog walk or pet visit, and service length, i.e. 30 or 60 minutes).


Tip: Subject to your permissions, the "Show / Hide Details" function, allows you to quickly change the level of detail shown on Schedules and Service Orders. Click to change the level of detail:

•	Minimum Detail: Date, Time, Service Description, Staff
•	Moderate Detail: Adds Staff Notes and Client Area.
•	All Detail: Adds financial info (Client Charges, Staff Pay, Invoice Notes, and Revenue).
