The QuickBooks Online transaction list is a very useful feature for viewing, editing and exporting all financial transactions such as invoices, payments, refunds etc. that have been synced from Pet Sitter Plus to your QuickBooks Online account.
The transaction list can also be used to re-sync transactions that have been manually adjusted in QuickBooks and are now out of sync with Pet Sitter Plus.
Important Note: QuickBooks Integration – Transaction List State: A new state of “Not Synced” has been added to the Transaction List in the QuickBooks Integration. A not synced state will be indicated if a client Invoice has a zero value service which are generally non-chargeable or Internal in nature and therefore not necessary to sync with QuickBooks Online.
What Can I View in the Transaction List?
When financial transactions are synced or awaiting sync, you are able to view a list of those transactions and their current status.
Navigation: Connect > Accounting Systems > QuickBooks > Transaction List
- Filter your report by selecting a date range or a predefined date range of Today, This Week or This Month.
- Click Reload.
How Do I Edit a Transaction?
Note: It is important to remember that our QuickBooks Online Integration is a ONE WAY sync from Pet Sitter Plus to QuickBooks Online. Therefore if you edit transactions from QuickBooks Online first, any changes will NOT be reflected in Pet Sitter Plus causing reconciliation errors. Existing transactions CAN be edited in Pet Sitter Plus and then re-synced into QuickBooks Online.
You can edit existing financial transactions that have been synced to QuickBooks Online from Pet Sitter Plus.
Example case use:
Adding a manual clients payment. Judith Brailli has made a manual payment of $204.00. You add this onto Judith's account as a manual payment. The QuickBooks Online integration automatically adds this change to the Sync Queue and the transaction appears on the Transaction list with a status of "Queued."
You then immediately notice an error has been made with the payment amount, $100 instead of $204.00, so to prevent the transaction being synced automatically to QuickBooks Online, follow these steps:
Step 1
Navigation: Connect > Accounting Systems > QuickBooks > Transaction List
- In the Transaction List report, select the Transaction your wish to amend.
- Click Edit
- Change the State to "Ignored"
- Click Update.
Info: If a transaction status is changed to "Ignored", even if AutoSync or Sync Now is activated, the "ignored" transaction will not be synced to QuickBooks Online.
Step 2
- Access the clients account and make the necessary changes to the transaction to correct any error, in this case, change the payment amount from £100.00 to $204.00.
Step 3
- Navigate to Connect > Accounting Systems > QuickBooks Integration >Transaction list.
- Select the clients transaction that is shown as "Ignored"
- Click Edit
- Change the status to "Queued."
Step 4
- Navigate to Connect > Accounting Systems > QuickBooks Integration > Settings and Sync.
- Click "Sync Now."
The amended transaction will now be synced to your QuickBooks Online account.
How do I Export the Transaction List?
The Transaction List can be exported onto your device if you need to produce a report on all transactions that have been synced to QuickBooks Online.
Navigation: Connect > Accounting Systems > QuickBooks > Transaction List
- Filter your report by selecting a date range or a predefined date range of Today, This Week or This Month.
- Click "CSV"
The transaction list will be exported as a CSV onto your device.
